Privacy policy

The short version
- Your calendar stays on your iPhone or in your Google account. Only busy start and end times for the next 60 days are shared, and only with people in your groups.
- We never see your events’ titles, places, notes or attendees.
- No ads, no tracking, and we never sell your data.
- You can download your data or delete your account in the app at any time.
Who we are
Cal Your Friends is made by Zenia Digital AB, a company in Sweden (“we”, “us”). We’re responsible for your personal data, which makes us its “controller” under data protection law. If you have a question, email hello@calyourfriends.app.
What we collect
Your account. If you sign in with Apple, we receive an identifier for your Apple Account and, if you choose to share them, your name and email address (which can be an Apple private relay address). If you sign in with email, we receive your email address and send a one-time code to it.
Your profile. The name you show your groups, your profile picture if you add one, and the colour the app gives you.
Your busy times. If you connect your calendars, the app reads them on your iPhone through Apple’s calendar framework (EventKit). That includes every account you’ve added to your iPhone, such as iCloud, Google or Outlook. On your phone, the app turns your events into busy start and end times for the next 60 days, and uploads only those times. If you’d rather not connect a calendar, you can check in by hand instead. Either way, you can mark a day as free or busy yourself.
Google Calendar. If you connect Google Calendar instead, you sign in with Google and the app asks Google for two read-only things: the list of your calendars (so you can choose which count), and when you’re busy in them (Google’s free/busy information). Google never sends the app your event titles, places or guests. Your phone talks to Google directly; the busy times go through the same steps as above, and only the start and end times are uploaded. You can disconnect in the app’s Settings, or remove the app’s access in your Google Account at any time. Deleting your account also revokes it.
Cal Your Friends’ use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We don’t use Google user data for advertising, don’t sell it, and don’t let people read it except where you ask us to (for example, for support) or the law requires it.
Your groups and plans. The groups you create or join, the invite code you joined with, the plans you propose (title, date and time, and a place and note if you add them) and your replies to plans (Going, Maybe or Can’t).
Your settings. Kept in your account so they follow you to a new phone, and seen only by you: which calendars count (recorded by each calendar’s ID, which for a Google calendar is usually an email address), the usual commitments you add (their name, days and times), days you can’t make plans, days you’ve marked free or busy, your hangout preferences, your time zone and anyone you’ve blocked.
Reports and blocking. If you report a person or a plan, we receive who reported it, what was reported, the reason you picked and the group it happened in. The person or the plan’s host isn’t told who reported them. If you block someone, their plans and photo are hidden from you and nothing they do notifies you; they aren’t told.
Notification settings. A push token that lets us send notifications to your device, which kinds of notifications you’ve turned on, and any groups you’ve muted.
Technical data. Like any online service, our servers see your device’s IP address when the app connects, and they keep short technical logs, such as errors, so we can keep things running. To stop abuse, we also count how many sign-in codes, reports and notifications an account or plan has set off each day. We don’t use these to track you. The app doesn’t include any analytics or crash-reporting tools. If you’ve chosen to share analytics with app developers in your iPhone’s settings, Apple may send us anonymous crash reports.
What people in your groups see
Each group shares one calendar. Inside a group you’re in, the other members can see:
- your name and profile picture
- when you’re busy (start and end times only) for the next 60 days, and any days you’ve marked as free or busy yourself
- whether you use a calendar or check in by hand, and when your availability was last updated
- the group’s plans and who’s going
People who aren’t in your groups see nothing. Anyone with a group’s invite code or link can join that group, so only share it with people you want in it.
What we never see or do
- Your events’ titles, places, notes and attendees never leave your iPhone. We can’t see them, and neither can your friends.
- We don’t show ads, use tracking tools, or track you across other apps and websites.
- We don’t sell or rent your data, and we don’t share it with advertisers or data brokers.
How we use your data, and why
We use your data only to run Cal Your Friends: to sign you in, show your groups when everyone is free, handle plans, send the notifications you’ve asked for, keep the service secure and fix problems. Under EU and UK data protection law, we rely on:
- Our agreement with you, to provide the app you signed up for.
- Your consent, for calendar access and notifications. You give it through iOS and can withdraw it at any time in Settings.
- Our legitimate interests, to keep the service secure and working, for example through error logs and abuse prevention.
- Legal obligations, where the law requires us to keep or share data.
Where your data is stored, and who helps us
Your data is stored with Google Firebase (Firestore, Authentication and Cloud Functions) in Google Cloud data centres in the European Union. A few other companies process data for us, only to do their part:
- Google (Firebase): our database, sign-in and servers.
- Apple: Sign in with Apple, and delivering push notifications to your iPhone.
- Expo: passes our push notifications on to Apple. It handles your push token and the text of each notification, such as “Sam proposed Brunch”.
- Google (Calendar), only if you connect Google Calendar: provides your calendar list and busy times to your phone.
- Cloudflare: sends the email with your one-time sign-in code, and hosts this website.
Some of these companies are based in the United States. When your data leaves the EU or UK, we rely on recognised safeguards such as the European Commission’s standard contractual clauses. We share data with anyone else only when the law requires it, for example a valid court order.
How long we keep it
- Your account, profile, groups and plans: for as long as you have an account.
- Busy times: each sync replaces them with a fresh set covering the next 60 days, so old ones don’t pile up. When you leave a group, your busy times in that group are removed.
- Groups: deleted, with their plans, when the last member leaves.
- Reports: for as long as we need them to handle the report and keep the service safe.
- Sign-in codes: stored only in scrambled (hashed) form, and they expire after 10 minutes.
- Server logs: deleted automatically after about 30 days.
Download or delete your data
Download. In the app, go to Settings → Privacy → Download my data to get a copy of your data as a JSON file.
Delete. In the app, go to Settings → Delete account (it’s also under Settings → Privacy). This removes your profile, your group memberships and the busy times you published, and closes your sign-in. If you signed in with Apple, it also revokes the app’s access to your Apple Account. Plans you created stay with the group so your friends don’t lose them, but your name is removed from them. If you’re the last person in a group, the group is deleted too.
You also have the right to access, correct or restrict your data, to object to how we use it, and to complain to your local data protection authority. Email hello@calyourfriends.app and we’ll reply within one month.
Notifications
With your permission, we send push notifications when there’s a good day to meet, when plans are proposed or change, and when a friend nudges you to check in. To tell you when a day starts or stops working, our servers work out each group’s good days for the next two weeks from the busy times already shared in it, and remember the result until the next change. Day alerts stop at three a day. The weekly reminder is set on your phone and sends nothing to us. You can turn each kind off in the app’s settings, mute a single group, or switch notifications off completely in iOS Settings.
Children
Cal Your Friends isn’t meant for children. You must be 13 or older to use it, or 16 if you live in an EU country where that’s the minimum age for agreeing to online services yourself. If you think a child is using the app, email us and we’ll delete their account.
Changes to this policy
When we change this policy, we’ll update the date at the top. If a change is significant, we’ll tell you in the app before it takes effect.
